About the Opportunity

We are seeking an experienced and results-driven Executive Assistant to provide administrative and project management support to a member of the Senior Executive Team (SET). The successful candidate will be highly organized and meticulous with strong business acumen and project management skills.

Responsibilities include, but are not limited to:

  • Day-to-day executive support including but not limited to inbox and email management, scheduling and calendar management, and providing support to the department, as needed
  • Perform a wide range of administrative and support related tasks, efficiently coordinating resources to expedite workflow, communications, administration and operations including ad hoc, unplanned, time sensitive, confidential tasks/initiatives and requests
  • Take initiative and assess priorities, and highlight/action these appropriately
  • Ability to contribute to the research and management of ongoing projects
  • Regular liaison with cross departmental staff at all levels, in addition to community agencies, stakeholders and the public, as needed
  • Plan and orchestrate work to ensure that department priorities are met, organizational goals are achieved, and best practices are upheld
  • Organize communications and support the planning of meetings/events, both internally and offsite
  • Maintain professionalism and strict confidentiality on all materials, and exercise discretion when interfacing with the business


  • High school diploma or GED
  • 4+ years’ experience in administrative role reporting directly to senior management
  • Experience developing internal processes considered an asset
  • Advanced competency in Microsoft Office (Outlook, Excel, PowerPoint, and Word) with aptitude to learn new software and systems
  • Excellent organizational and time management skills – ability to work independently to meet timelines and priorities
  • Strong interpersonal and client relationship skills – ability to work with a diverse group of professionals, donors and volunteers
  • Excellent written and verbal communication skills
  • Maintain a high degree of discretion and confidentiality
  • Strong analytical capability with excellent attention to detail; strategic thinker
  • Enthusiasm, creativity, innovation and the ability to thrive in a fast-paced environment
