Job Overview:
We are seeking a highly organized and dedicated professional to serve as the Executive Assistant to our Senior Rabbi and Assistant Rabbi, Director of Jewish Living and Learning. This pivotal role requires exceptional administrative skills, a deep understanding of Jewish faith and practices, and the ability to navigate a fast-paced, dynamic environment.

Responsibilities:
Administrative Support:
• Provide high-level administrative support including document preparation, email management, and maintaining organized records.
• Manage the CRM database to ensure accurate data entry and effective client relationship management.

Calendar and Schedule Management:
• Closely manage and maintain highly complex calendars for both rabbis, ensuring efficient use of time while prioritizing accessibility and preserving personal time off.
• Resolve scheduling conflicts and coordinate travel arrangements.

Communication and Liaison:
• Act as a liaison between the rabbis and congregants, staff, and external partners.
• Craft and refine written communications such as emails, newsletters, and social media posts to ensure clarity and alignment with organizational objectives.

Team Coordination and Outreach:
• Coordinate pastoral care efforts and community outreach initiatives.
• Assist with organizing and participating in community events including Shabbat, Jewish Holidays, and Life Cycle events.

Confidentiality and Discretion:
• Maintain strict confidentiality with sensitive information related to the rabbis’ engagements and communications.

Additional Responsibilities:
• Act as the first point of contact (in person, phone, email) for community members, donors, volunteers, visitors, and board members, responding promptly and professionally.
• Ensure physical presence to receive and escort visitors scheduled for in-person appointments with the rabbis, ensuring coverage as needed.
• Make travel arrangements, create itineraries, and prepare expense reports for trips as required.
• Anticipate and resolve issues that could impact rabbinic programs and services, keeping the rabbis informed in real-time.
• Utilize technology to enhance office efficiency, maintain order in the absence of the rabbis, and manage regular processes such as calendar maintenance and communications.
• Collaborate with staff and lay leaders to facilitate successful programs and services, including coordinating events, supporting pastoral care, and assisting with fundraising initiatives.

Qualifications:
• Prior experience as an executive assistant or in a similar administrative role.
• Strong organizational skills with a keen eye for detail.
• Excellent interpersonal and communication skills.
• Proficiency in CRM platforms and Microsoft Office suite or Google Suite.
• Ability to work both independently and collaboratively in a team setting.
• Preferred knowledge and love of Hebrew and familiarity with Jewish rituals and customs.
• Proactive with a strong ability to take initiative.
• Tech-savvy, proficient in creating high-quality documents, spreadsheets, and PowerPoint presentations.
• Able to maintain composure and demonstrate effective problem-solving skills in fast-paced environments.
• Ability to speak and write with a high level of clarity and grammatical accuracy.
• Ability to project an approachable yet highly professional image.

Education:
• Bachelor’s degree or equivalent experience in administration, communication, or a related field preferred.

Compensation:
• Competitive salary ranging from $55,000 to $58,000 annually.
