We are seeking: OFFICE ADMINISTRATOR
Job Description:
The Office Administrator role is a full-time contract position. Under the direction of the Branch Principal, or their designate, the Office Administrator ensures the quality, accuracy, and excellence in all phases of the administrative operations at Associated Hebrew Schools. The Office Administrator serves as a member of the front office team and supports all aspects relating to communication to parents, staff and students.
Responsibilities include, but are not limited to:
- Answering phone and attending to parent inquires; following up with relevant team members as necessary
- Greeting visitors and attending to their inquiries while following relevant protocols
- Answering email inquiries from parents and provisioning them the relevant information in keeping with school policies and protocols
- Supporting students with their inquiries/injuries and notifying the applicable team members
- Photocopying
- Laminating
- Assisting and supporting with programming
- Filing
- Preparing and maintaining information lists, supplies, materials
- Preparing newsletters and parents communications
- Liaise with third parties to make relevant bookings (picture day, lice check, booking busses for field trips)
- Collect and track money as requested (sports teams, field trips, kippot sales, etc.)
- Manage interoffice and external mail, including deliveries
- Make use of school SIS (Student Information System) to enter, update, and access relevant information, and prepare communications
- Occasional support with coverage and supervision
- Maintain the cleanliness and organization of the office, notifying the relevant team members when additional supplies need to be ordered
- Collect student attendance data and call parents of absent students
- Support with tracking teacher absences, booking supply teachers, preparing supply teachers materials/schedules, and inputting/submitting their hours
- Create fliers, adverts, signage, notices for events
Necessary Skills:
- The successful candidate must be competent on the computer and comfortable working with database software; knowledge of G suit applications, Canva, and Blackbaud/VeraCross advantageous
- The successful candidate must be highly ethical and professional as they may deal with highly confidential information and represent the School
- The successful candidate must be organized, able to multitask, and manage their time effectively
- The successful candidate must have strong interpersonal skills
Job Type: Full-Time (40 hours per week), Contract
Location: Posluns Education Centre, 18 Neptune Drive, North York, ON (On-site)
Work Hours: 10:00am - 6:00pm Monday - Friday
Salary: $40,000.00 - $50,000.00 annually
