Position Description
Working for Beth Tzedec Congregation, the position is part of the Beth Tzedec administrative team and reports to the Sr. Rabbi. The Executive Assistant will provide high-level support to the Sr. Rabbi and other members of the Spiritual Leadership Team, to ensure the needs of the congregation and leadership team are met. Must be able to manage multiple projects simultaneously with professionalism and possess an appreciation for the diverse roles a synagogue plays in the life of its members.
Responsibilities
- Provide day-to-day administrative support to the Sr. Rabbi and Associate Rabbis to optimize their priorities and deadlines, including preparation of correspondence, reports, emails, memos, spreadsheets, grant submissions, etc.
- Manage schedule, appointments and calendar; Arrange, confirm, and prepare briefings for meetings by obtaining relevant and critical information, materials and research before each meeting to properly prepare the Sr. Rabbi.
- Carefully monitor the priorities in the Sr. Rabbi’s calendar.
- Prepare agendas and briefing materials for spiritual leadership teams’ meetings; attend meetings and record minutes with action items and carry out appropriate follow-ups.
- Compose emails and other correspondence on behalf of the Sr. or Associate Rabbi and provide appropriate follow-ups.
- Coordinate and oversee the booking of life-cycle events, including the preparation of corresponding certificates and documentation.
- Excellent written communication skills to compose drafts of articles and other postings as informational comments for Facebook, Twitter, and LinkedIn. (Final drafts to be personalized)
- Maintain various databases and CRM for the Sr. and Associate Rabbis; ability to gather data and compile reports as necessary
- Assist members as required
- Assist with administrative details for other members of the clergy as required
- Attend programs and events as required (flexible schedule)
- Reconcile expense reports on a monthly basis as needed.
- Prepare presentations and reports as required.
- Arrange travel accommodations and itineraries before trips and conferences.
- Maintain the strictest confidentiality.
- Perform other duties as assigned, including but not limited to member mailings and reception relief.
Requirements
- University or College Degree
- Minimum 3 years of experience supporting an executive, preferably within a non-profit environment
- Knowledge of Jewish culture, traditions and observances. Hebrew preferred, decoding acceptable
- A keen attention to detail, proven track record of self-direction, follow-through and dependability
- Team player, self-starter, good judgment, discreet
- Professionalism, discretion, hospitality, confidentiality and strong customer service / welcoming ability
- Strong MS Office and computer skills, experience with scheduling, calendar maintenance (CRM, Doodle, Calendly, etc.)
- Familiarity with Database Management and Fundraising software is an asset
- Experience with social media, i.e., Facebook, Twitter, LinkedIn, and Instagram
- Excellent written and oral communication skills
