United Hatzalah is the largest independent, non-profit, fully volunteer emergency medical service organization that provides the fastest FREE emergency medical first response throughout Israel. United Hatzalah’s services are available to all people regardless of race, religion, or national origin. United Hatzalah has more than 8,000 volunteers in Israel, available around the clock – 24 hours a day, 7 days a week, 365 days a year. With the help of our unique GPS technology and our iconic ‘ambucycles’, our average response time is less than 3 minutes across the country and 90 seconds in metropolitan areas. Our mission is to arrive at the scene as soon as possible and provide the patient with professional and appropriate medical aid until an ambulance arrives, resulting in many more lives saved. Following the events of October 7th, United Hatzalah immediately mobilized into action and responded to the attacks in southern Israel by deploying more than 1,700 volunteer medics. United Hatzalah Canada’s mission is to support and enhance the work of United Hatzalah.

The Position

This is a full-time hybrid role based in Toronto working with the United Hatzalah Canada team. The ideal candidate will be responsible for the accurate, timely and efficient daily intake and processing of all Canadian donations from multiple donation platforms within set time limits. This will include collecting and depositing donations, creating and maintaining accurate donor records in the CRM software (i.e. Salesforce), maintaining data integrity across the CRM, and other databases and issuing tax receipts. There will also be collaboration with global United Hatzalah staff across various fundraising, finance, accounting, and operations levels, as required.

Donations Processing

  • Retrieve, deposit and reconcile donations from multiple donation sources (i.e. cheques, cash, wires, stock transfers, credit card payment processors)
  • Maintain donor records in Salesforce and other relevant systems
  • Ensure accuracy and quality of all donor and donation records
  • Implement improvements to donations processing systems and procedures
  • Support overall fundraising objectives by creating reports and providing data insights
  • Support finance functions with reconciliation of donation receipts and revenue tracking
  • Monitor CRA compliance alongside bookkeeper and accountant
  • Oversee donor acknowledgment, including preparing and generating thank you letters, certificates of acknowledgement/stewardship initiatives, and charitable receipts
  • Communicate with donors and fundraisers to support donation queries and issues
  • Coordinate with other departments across the international organization on donation reporting and tracking

Office Management

  • Maintain office supplies
  • File important documents, such as reports, meeting notes, emails, and letters
  • Coordinate communications and collect relevant receipts for company expenses
  • Oversee incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence
  • Update internal reports of donations and expenses and delivering insights to accountant and bookkeeper
  • Paying vendors once or twice a month
  • Update Salesforce with donations, pledges and tagging products and vehicles to donations + pulling out reports
  • Monitor inflow and outflow of all bank accounts + deposit cheques at the bank
  • Maintain donor stewardship gifts and logistics
  • Pick up mail once or twice a week, and deposit cheques received
  • Create and send out tax receipts and acknowledgement letters, including all donations received via Echoage
  • Attend team meetings and take meeting minutes
  • Create the monthly Executive Director’s Report
  • Act as the gatekeeper for internal and external contacts, including vendors, colleagues, clients, and customers
  • Conduct research and creating reports on various topics to support the team

Marketing and Communications

  • Update website content as required, and create digital campaign landing pages (internal and peer to peer)
  • Support the planning and organizing of events and fundraisers
  • Manage the communications and delivery of tribute cards/ send on behalf of donors
  • Prepare general correspondence, message points, web content, social media content, speeches, press releases, quotes for attribution, media pitches, and other communications
  • Maintain and update brochure content and donation-related pricing information
  • Expand digital assets and footprint
  • Support the growth of fundraising programs through the execution of digital marketing strategies

Qualifications

  • Bachelor’s degree with 2-5 years’ work experience managing payment processing, donations processing, data entry, or similar
  • Experience with non-profit sector
  • Strong computer capabilities, including proficiency with Microsoft Office applications
  • Experience with Salesforce or similar CRM
  • Familiarity with CRA compliance
  • Excellent organizational skills and attention to detail
  • Excellent verbal, written and interpersonal skills
  • Strong critical thinking skills, ability to innovate and creatively problem solve
  • Ability to take initiative, prioritize, and multitask
  • Ability to maintain a high degree of discretion and confidentiality
