ABOUT THE ROLE

Reporting to the Executive Director,  NCJWCToronto is looking for an individual who is helpful, efficient, skilled, well organized and has excellent interpersonal skills. This position is 25 hours/week with possible increased hours during major campaigns.

JOB RESPONSIBILITIES (Specific responsibilities include, but may not be limited to)

Reception

  • Act as the first point of contact for those entering the NJCWCToronto office 
  • Answer telephone calls and relay messages in an efficient, pleasant, and helpful manner
  • Maintain a calendar of scheduled meetings and events

Administrative

  • Maintaining regular communication with members, donors and volunteers
  • Support the development, formatting and mailing of letters to members and volunteers,
  • Draft agendas, file board and committee meeting minutes, send materials to board members
  • Liaise with graphics and communications staff to support and coordinate content for newsletters, prepare digital and print marketing material, and engender timely and ongoing communication about upcoming events 
  • Attend, participate, and help with set up and dismantling of NCJWCToronto events as required
  • Schedule and set up zoom calls and meetings as required and manage zoom events
  • Provide administrative, technical and organizational support for the Passover Food Drive.
  • Track referrals and registration for our various programs and events

Donor Relations

  • Processing of Donations
  • Updating donor base
  • Creating and sending cards including Tribute Cards, Passover Cards, Rosh Hashana Cards, etc.

Office Oversight

  • Contacting service providers as required (alarm, physical plant, computers, heat, electrical)
  • Troubleshooting technology issues
  • Ordering supplies, stationary and setting up and organizing supply cupboard

QUALIFICATIONS AND EXPERIENCE

  • Post-secondary education in administration, communications, or related field
  • 2-3 years of relevant administrative and data entry experience, preferably in the non-profit sector
  • Certificate in fundraising, event planning, and/or marketing an asset
  • Proficient keyboarding skills and proven in-depth knowledge of Microsoft Office Suite
  • Experience working with volunteers and donors
  • Experience in managing donor or CRM data bases and Experience with Mailchimp desirable
  • Experience in customer service and/or working with donors in not for profit environment
  • Fluency in English (oral and written)

  • Demonstrate commitment to the highest standards of ethical practice
  • Understand the need for professionalism, discretion, and patience when communicating with donors and volunteers
  • Accuracy and attention to detail is imperative
  • Experience with fundraising software an asset
  • Experience using social media platforms including Facebook, Twitter, and Instagram an asset

WORKING CONDITIONS

  • Some evening and Sunday work may be required from January-April
  • Must be available to start immediately
